April 17, 2008
Board Vice President, Celia Young, presided over the meeting held at the TempeCommunityArtsCenter. In attendance were Mary Anne Doty, David Smithwick, Sally Clifford, Lisa Kaiser, Sharon Skinner, Kathi Metzger, Jerry Dillahay, Jane Crothers, Brenda Simmes, Jennifer Kabrud and Andrea Thonvold. (The last three are not members.)
Marketing Report: Sally reported that the Marketing committee is working to
- complete a brochure, picking up where the committee left off last year. Once complete, we will be able to insert upcoming event information, pass them out at events and mail them to whoever is interested. The committee hopes to have the brochure ready for review/approval in May for printing and distribution at the tribal event.
- Send out a press release on members who have received their GPCI certification.
- Develop an e-newsletter template. The newsletter would include members’ grant announcements, events and job opportunities, new member announcements and links.
Announcements
Cecelia announced
- that that the tribal 12% grants event will be held possibly the first week of June at the East Valley Child Crisis Center in Mesa; last year’s fee was $40; seating will be limited to 75 attendees
- AZ-AAGP will present “Grant Seeking in a Down Economy” during the AZ League of Cities and Towns meeting to be held August 20-21. (Sally Clifford may have some instructors who may present)
- “green grants” will be one track offered at our annual meeting in Flagstaff.
- HUD is having a free 2-day conference in Yuma on grants and suggested we try to have our brochures ready in time for that event.
Jerry reported on AAGP national – AAGP is looking at on-line GPCI test training. And he reported on an initiative to help specific groups by providing more narrowly focused tracks at conferences and workshops, etc.
Dave informed the new members and the three potential members that information on the AAGP can be found on the website go-aagp.
Membership - Kathi Metzger raised the question of what should our relationship be with National with regard to finding out who is a National member, but not a Chapter member.
Dave thinks there is a large potential membership among law enforcement.
There was discussion about the single-list serve we used to have and how much people liked it.
Next time we’ll try to bring banner & brochures to AANP events to attract more members. |
| Marketing Meeting Minutes - Tuesday, April 01, 2008Here is a summary of our conference call on Wed., March. 26, 2008:
- ATTENDEES: Sally Clifford, Lauren Daniels, Sharon Skinner
- STANDARD PROCESS FOR MARKETING AAGP-AZ EVENTS: Sharon outlined the standard process adopted by AAGP-AZ in earlier years that we can follow to promote events, which is - Publish Save-The-Date Notice to AAGP-AZ Membership; Develop and distribute Brochure/Flyer with details, registration info., etc..about the event to AAGP-AZ Membership; Press Release to media contacts about the event.
- Both Lauren and Sharon know there was a notebook put together that had the marketing standards, templetes, AAGP-AZ logo, etc..that we can use to start a "central respository" of this information and would be available for all of us to access.
- Sally will follow-up with Nancy M. and Maria to see what materials they might have.
- UPCOMING AAGP-AZ EVENTS: We all talked about the concern we have of not having enough lead time to promote any upcoming AAGP-AZ events.
- Mary Anne - maybe you could follow-up with the Board on what is going with programming.
- PRESS RELEASE REGARDING AAGP-AZ WHO RECEIVED CERTIFICATION FROM GPCI: We all thought this was a great way to promote AAGP and the profession to the general public by sending out a Press Release about the GPCI and announce the AAGP-AZ members who received certification. We also thought this would be a good way to verify and update our media contact list.
- Lauren will right an initial draft of the press release and we will review during our next call.
- AAGP-AZ NEWSLETTER: We talked about having an AAGP-AZ E-Newsletter published on a regular schedule (monthly). The content would include such items as: Upcoming Events, Grant Award Annoucements and WHO wrote the grant, hot topics in the grant profession, News from the National office, etc. We thought this is a great way to not only promote AAGP but keep the chapter visible to the general membership.
- We will talk more about the format and content at our next conference call.
- OUR NEXT CONFERENCE CALL: Our next call is scheduled for Wednesday, April 16 at 11:00am.

| March Meeting Minutes - Tuesday, March 25, 2008AAGP-AZ Board Meeting
March 7, 2008
Board President, Matthew Hanson, presided over the meeting held via conference call. The conference call was enhanced with the addition of the web-based online conferencing service Ready Talk which Dave arranged for us to try free of charge. On the call were Mary Anne Doty, David Smithwick, Cecelia Young and Nancy Mager.
Minutes: The February minutes were approved.
Treasurer’s Report: David reported that our chapter was reimbursed for the AAGP banner and that we have just over $7,000 in our checking account. Matt and Dave said they will get together and develop a budget.
Website Update
Dave suggested we advise our membership that the AAGP website is up and running with our chapter information. Matt said he would send out an email.
Charter Revisions
Matt suggested that we make changes to our charter to stagger and rotate Board officer terms. Rather than elect a new slate every year, we talked about having some terms last for two years rather than one to ensure continuity and possibly rotating the position of President. We also discussed adding ex-officio Board Positions such as the past President. Matt will solicit volunteers to form an exploratory committee to make recommendations.
Partnership with the Alliance of AZ Nonprofits
Matt met with Patrick to discuss formalizing our partnership. He told him that we would like to have a permanent spot on all statewide Grants Forum agendas, where we would get 15 minutes to provide a mini-tutorial on grants. Chapter meetings that would follow the Forums would continue the tutorial. Patrick concurred that he has received feedback from Forum attendees complaining that the Forum’s don’t do enough to educate the attendees. Matt feels the relationship provides additional value in that AAGP members receive discounts. Matt will draft an MOU. Again the subject was raised as to whether or not we should have our annual meeting in conjunction with the Alliance.
Tribal Gaming Grants Forum- Janeen has been talking to GRIC. Jerry spoke with Ft. McDowell and they may be interested as well. Matt will follow-up with Janeen and set a firm date.
Ready Talk – Discussed whether or not it brings enough value to us. Matt likes the potential so we will keep it unless it becomes too costly.
Committees
Membership – Discussed doing a mailing to lapsed members, or National vs. AZ and expired members. We would like more control over our membership list. Staff at AAGP National keeps turning over which makes it difficult to get timely info on members.
Social – Discussed social networking after 5pm. Do we want to do this perhaps after major events? Matt suggested having a networking lunch after the next Grants Forum and will look into setting it up.
Marketing – Mary Anne reported on their first meeting via conference call. Sally Clifford offered to chair the committee.
- Nancy Mager said she will give us her media contact list as the one we have is very outdated.
- Sally will publicize the next Chapter meeting in April.
- Sally will pull together a list of organizations as potential partners
- According to Sharon Skinner, the National Marketing committee has been disbanded, but they have hired a consultant to pick up where the committee left off. Their job is to ensure consistency of brand/ image/ message and advertise events.
- Lauren would like us to send a marketing info sheet to new members

| AAGP-AZ Board Meeting February 1, 2008, 11 a.m. - Friday, February 15, 2008
Board President, Matthew Hanson, presided over the meeting held at the Desert Botanical Gardens. In attendance were Mary Anne Doty, David Smithwick, Cecelia Young, Lynn Timmons, Susan Combe, Sally Clifford, Janet Holston, Barb Carey, Laura Kelly, Tammy Shreeve, Marcy Adkins, Janet Rae Humphrey, Kathi Metzger and Lauren Daniels.
Matt convened the meeting and reported that we now have 70 members in AZ.
Financial Report: David reported that we have a $6,820.09 balance in our bank account and passed around a copy of the check book ledger to place into the minutes.
Events
Chapter Meetings
Discussed potential topics for upcoming meetings:
- The important role of grants professionals
- The role of grants in an economic downturn
- Green grants
- How to write/submit grants without a grant writer
- A training class on Adobe Professional (Dave Smithwick offered to teach)
GPCI Testing – As some members said they did not receive the email regarding taking the test in AZ, Matt will resend it. To consider hosting the test, we probably need around twenty people to sign up.
Annual AZ Chapter Meeting – Stacy has offered the use of City Hall in Flagstaff – the same venue as last year. (Thanks, Stacy!)
Discussion followed on programming. Potential topics included:
- Green grants
- Creating government/nonprofit partnerships
- Evaluation and outcomes; perhaps repeat last year’s program on Logic Models
Lynn brought up the highly successful Audubon Capital Campaign and suggested Randy Schilling would be a good speaker on environmental grants and capital campaigns.
Concern was expressed that ‘Green’ may be too narrow a theme, so it was suggested that the theme be ‘Sustainability’ to broaden its appeal.
Annual AAGP Meeting
Matt is getting pricing on a bus to transport members to the meeting in Long Beach.
Other Business
- Our chapter would like to provide an annual scholarship to a member to attend the Annual meeting. Matt is researching.
- Matt made a plea for committee chairs.
- Matt has a meeting scheduled 3/4/08 to meet with Patrick to discuss the AZ Alliance and AAGP-AZ relationship.

| January 2008 Meeting Minutes - Friday, February 01, 2008AAGP-AZ Board Meeting
January 16, 2008, 10 a.m.
In attendance:

The new Board, presided over by Matthew Hanson, met for the first time to set the 2008 agenda. Matt hosted the retreat/strategic planning session at his office in Goodyear.
Website
The first order of business was the AAGP website. National has been slow in developing the Chapter information pages/links and the National website lacks the membership application. Basic communication is a key issue and the general feeling is that we should develop our own website as soon as possible. Nancy Mager said we have enough money to do it ourselves and it could serve as a model for other Chapters around the country. Matt said he would send out an email asking who would like to be on a website committee. David Smithwick volunteered to be the Web chair.
Board meetings
Board meetings will continue to be held via conference call at 11am on the first Friday of the month. Also discussed having AAGP member meetings following the Grants Forums.
Events - Signature Event and Annual Meeting
- The Board committed to holding another session on Tribal Gaming as this event was a huge success last year. We are also exploring some new ideas for the Tribal Gaming session. We are looking at having one of the tribes host the event (possibly Gila River) and maybe offer multiple programming tracts with one specifically for non-profits and one for government agencies
- Discussed having the next annual meeting in Flagstaff (or similar location outside of greater Phoenix area). Possible theme for the meeting “Finding Green Grants”
- Discussed partnering with the League of Arizona Cities and Towns again and sponsoring a session at their annualconference.
- Matt suggested having a grants forum focused on state agencies with someone from the AZ Department of Commerce.
- Scottsdale Conference – discussed having a session on newly passed Energy Block Grants. Maybe we can get someone from the Dept. of Energy to speak. Conference would have an overall ‘green’ theme.
